Terms of Service

These terms are written in plain English. We want you to understand exactly what you're agreeing to — no legal jargon, no hidden clauses.

1. Acceptance of terms

By creating a Resonote account and using the service at app.resonote.io, you agree to these Terms of Service. If you do not agree, please do not use Resonote.

2. What Resonote is

Resonote is a private AI debrief and session-notes tool for professional coaches and other client-facing professionals. It allows you to record your own post-session voice debrief, which is transcribed, structured by AI, and saved to your private account.

Resonote is intended to support professional reflection, preparation, and continuity between sessions. It is not a medical record system, clinical documentation system, therapy platform, legal advice tool, crisis-support service, or emergency-support service.

3. Your account

You are responsible for maintaining the security of your account and password. You must not share your login credentials with others. Each account is for one individual practitioner. If you are part of a practice or organisation, each practitioner requires their own account.

You must provide accurate information when creating your account. You must be at least 18 years old to use Resonote.

4. Your data and your clients

Everything you store in Resonote — including session notes, client names, goals, recordings, and your own debrief content — belongs to you. We do not claim ownership over your content.

You are responsible for ensuring that your use of Resonote is consistent with your professional obligations, confidentiality duties, client agreements, professional body guidelines, and applicable laws.

Resonote records only your private post-session debrief — never a client session itself. You are responsible for how you describe client interactions in your debrief. You should avoid entering unnecessary sensitive personal data unless it is relevant to your professional work and you have an appropriate basis to process it.

Resonote supports your professional note-taking and reflection. It does not replace your professional judgment. You are responsible for reviewing AI-generated notes, correcting inaccuracies, deciding what to keep, and ensuring that any records you maintain are appropriate for your practice, clients, and professional standards.

7. Beta service

Resonote is currently in beta. This means the service is still being developed, tested, and improved. During beta, the service is provided free of charge. We reserve the right to introduce paid plans in the future, with reasonable notice. Beta users may receive early-access or preferential pricing if paid plans are introduced.

During beta, the service may occasionally be unavailable for maintenance, updates, technical issues, or product changes. We will do our best to notify users in advance of planned downtime where reasonably possible.

8. AI-generated content and limitation of liability

Resonote is provided "as is". While we work hard to ensure the service is reliable and useful, we cannot guarantee that AI-generated summaries, themes, action items, or suggested next-session focus are always complete, accurate, or appropriate.

AI-generated content is assistive only. You should always review, edit, and validate AI-generated notes before relying on them professionally or sharing them with anyone else.

To the fullest extent permitted by applicable law, we are not liable for any loss of data, loss of business, loss of profit, reputational harm, or any indirect or consequential damages arising from your use of Resonote. Nothing in these terms excludes or limits liability where it cannot legally be excluded or limited.

9. Termination

You can delete your account at any time from within the app. All your data will be permanently deleted within 30 days. We reserve the right to suspend or terminate accounts that violate these terms.

10. Changes to these terms

If we make significant changes to these terms, we will notify you by email at least 14 days before the changes take effect. Continued use of Resonote after that date constitutes acceptance of the updated terms.

11. Governing law

These terms are governed by the laws of the Netherlands. Any disputes will be subject to the jurisdiction of the Dutch courts.
